Switching from a paper diary to dog grooming software

Updated 1 October 2026

A paper diary works until it doesn’t: a double booking, a coffee spill, or a client asking when their dog was last done. Moving to software sounds like a big job, but with a plan it can be done in an afternoon.

Get your client list into one place

Start with a spreadsheet of clients: name, phone, email, address, and each dog’s name, breed and notes. If you’re moving from other software, export your clients as a CSV file. Good grooming software can import that in one go.

Add your future bookings

Enter bookings from today onwards. There’s no need to copy years of history; add notes for regulars as they come in.

Set up your services and prices

List your services with their usual length and price, and adjust them by size or breed where it matters. This makes booking quicker and keeps prices consistent.

Run both for a week

Keep the paper diary for a week while you get used to the new system, then stop. Running both for longer leads to mistakes.

Tell clients about the new way to book

Once you’re settled, share your online booking link, and let clients know reminders will now come from your business automatically.

Questions

Will I lose my client notes?

Not if you import them. Include notes in your spreadsheet, or add them to each dog’s record as they come in.

How long does it take to switch?

Most of the work is getting your client list into a spreadsheet. Importing and setting up services usually takes an afternoon.
