How to choose dog grooming software in the UK

There are plenty of booking systems for groomers, and most demos look good. The differences show up later: in what a text actually costs, whether it works in a van with no signal, and whether you can get your clients out again. Use this checklist when you compare them, including Pawdiary.

Does it understand dogs?

General salon booking tools are built around people. Check you can keep each dog’s breed, coat, behaviour and health notes, price by size or breed, and book several dogs from one household together.

Online booking that protects your diary

  • Can you limit online booking to existing clients, or approve new clients first?
  • Does it use real groom lengths, so it doesn’t double-book you?
  • Can you set notice periods and how far ahead people can book?
  • Can clients book without downloading an app?

Reminders and no-show protection

Ask how reminders go out (email, text, WhatsApp), whether they’re automatic, and what each text costs. Check whether you can take deposits or save a card, and charge a no-show fee you’ve agreed in advance.

Getting clients to come back

Most of a grooming business’s income is regulars. Look for a way to see who’s due or overdue and message them, rather than only a calendar of who’s already booked.

If you’re mobile

Check for a route for each day with drive times, travel time kept free between visits, and whether the app still opens your diary and the dog’s notes when there’s no signal.

Your data and GDPR

  • Where is the data stored, and is there a data processing agreement?
  • Is there two-step login?
  • Can you export everything at any time, in a format another system can import?
  • What happens to your data if you leave?

The real cost

Add up the monthly price, any setup fee, the cost of texts, card fees on top of the payment provider’s, and whether there’s a contract or minimum term. A cheap plan with expensive extras can cost more than an all-in one.

Switching and support

Ask whether they’ll import your client list from a spreadsheet or your old system, pets included, and how you reach a person when something goes wrong. Use the free trial on a real week of bookings, not a demo.
